Who is responsible

Data we receive

The form asks for your name and a contact method: email, telephone or messenger. Company, collection location, goods, labelling requirements and comments are optional. The website infrastructure also processes technical information, such as your IP address and request details, to operate and protect the service. Please do not include sensitive personal data or unnecessary information about other people.

Purpose and legal basis

We use your enquiry to respond, clarify requirements and prepare a proposal. For enquiries about a contract with you personally, the basis is taking steps at your request before entering a contract (GDPR Article 6(1)(b)). For enquiries on behalf of a company, it is our legitimate interest in responding to business requests (Article 6(1)(f)). Website security and preventing misuse also serve legitimate interests. Legally required retention is based on Article 6(1)(c). Submitting the form does not subscribe you to marketing emails.

Who can access the data

Enquiries are delivered to ISOTRA business email through Google Apps Script and Google Workspace. Hosting and website delivery use OpenAI Sites and Cloudflare infrastructure. Access is limited to ISOTRA staff who need it to respond and technical service providers within their functions. When preparing a specific shipment, relevant information may be shared with the logistics partners involved.

International processing

Technical providers may process data outside the European Economic Area. Such transfers must use the grounds and safeguards required by the GDPR, such as an adequacy decision or standard contractual clauses. You may ask ISOTRA for details about the recipients and safeguards applicable to your enquiry.

Retention

Retention depends on the purpose: handling your enquiry, follow-up negotiations, performing a contract and applicable record-keeping obligations. After an enquiry is closed, the data is to be deleted when no longer needed for those purposes or the justified defence of rights. Contract records are kept for the applicable mandatory periods. The website does not create a separate enquiry database; messages are retained in business email.

Language settings and security

The isotra_lang cookie stores only your chosen language for up to one year; you can remove it in your browser. On your first visit, the language is selected using the country inferred by the infrastructure from your IP address and your browser language settings. No advertising trackers or analytics counters have been added to the website code. Form protection uses field validation, submission limits and a short-lived enquiry fingerprint to identify duplicates.

Your choices and rights

Using the form is voluntary, but a name and contact detail are required to process an enquiry through it. Where applicable, you may request access, correction, deletion, restriction or portability of your data, and object to processing based on legitimate interests. Contact us at the address above. You may complain to the Latvian Data State Inspectorate (Datu valsts inspekcija) or another competent supervisory authority. Form data is not used to make solely automated decisions with legal effects.
